Terms and Conditions

As a student, you are a ‘consumer’ of educational products and are entitled to protection under the law. In support of this, at the point of registration, we ask you to agree to our Terms and Conditions for the usage of our website and products.

The Student’s Terms and Conditions contain references to documents that set out our regulations and policies. You should read and understand these documents in advance before agreeing to the Terms and Conditions, as this is the point at which you enter into a formal contract with us.

You agree to be bound by our Terms and Conditions when you initially register with Big Field Digital Academy for any of our courses.

Subsequently, the following words and phrases may be used interchangeably in this document and in the curriculum through which our courses are delivered:

    • “course” and “program/programme”
    • “participant”, “student” and “learner”
    • “course material”, “course content” and “program material”
    • “Tutor” and “Learning Facilitator”
    • “Head Tutor” and “Head Learning Facilitator”
    • “Markers” and “Assessors”
    • “Honor Code” and “Code of Conduct”
  1. Our Obligations to You

We will provide you with access to course materials as described in the course description. We will provide you with tutorial support at Big Field Digital Academy. We will ensure you receive feedback from tutors regularly, and whenever possible within 24 hours of feedback being requested from Mondays to Fridays.

We will not be liable for any failure to perform any or all of our obligations where that failure is due to the actions of someone else or any cause beyond our reasonable control. This includes the closure of Big Field Digital Academy.

  1. Use of Personal Information

At Big Field Digital Academy, we’re committed to protecting and respecting your privacy. For full details of how we collect personal information, how we use it, the conditions under which we may disclose it to others, and how we keep it secure check the registration page.

  1. Collection of Outstanding Course Fees

Big Field Digital Academy will collect net course fees with the understanding that self-sponsored trainee/organisation enrolling the trainee in the course will make every effort (including ensuring that training grant is submitted in good time and trainee passes any compulsory assessments during the course) to ensure the claim is successful.

The amount payable quoted on the registration form and invoice assumes that the information provided by the registrant is accurate. In the event that the information submitted to Big Field Digital Academy is found to be inaccurate, the actual amount payable may be higher than the amount quoted. In such a scenario, Big Field Digital Academy reserves the right to collect the balance payment from the self-sponsored trainee/organisation enrolling the trainee.


Below are some key aspects of this Terms and Conditions document:

Requirement to pay a registration Fee: This is the fee you pay to register with us for your first academic year. For some programmes, this may be included in a module/course fee as indicated on our website. To progress in your studies, payment of continuing registration fees may be required in subsequent years.

Accurate information: All information (including personal information) provided to us on registration, on creating a student account, must be true, accurate and complete. You are also responsible for updating us in the event of a change to your information (for example, your name or address).

Suitability of Course: Before registering for any course, you are responsible for establishing the relevance and suitability of the course for your individual requirements, through consideration of the information supplied through our websites, and asking questions, if necessary.

Commencement of Course: You will only receive confirmation of your registration for a Course, and be allowed access to active classes, once you have made the required minimum payment for the Course(s).

Minors: You will not be allowed to register for a Course if you are under the age of 15. If you are between the age of 15 and 18, you must obtain the written consent and assistance of your parent or legal guardian to enter into these Terms and register for a course, and this registration would need to be separately managed by our Credential Management team by arrangement to ensure compliance with all applicable legal requirements and be allowed access to active classes, once you have made the required minimum payment for the course(s).

  1. Course Requirements

Basic requirements: In order to complete a course, you will need a current valid email account and access to a computer and the internet. You should be familiar with using a computer and accessing the internet, as you may need to be able to read documents in Adobe PDF Reader, view Microsoft PowerPoint presentations, as well as read and create documents in Microsoft Word.

Additional requirements: Certain courses may require additional software and resources. These additional software/resource requirements will be communicated to students upon registration and/or at the beginning of the Course. Please note that Google, Zoom, and YouTube may be used in our course delivery, and if these services are blocked in your jurisdiction (in case of International Students), you may have difficulty in accessing course content. We strongly recommend that you check with us before registering for a course if you have any concerns about this affecting your experience with the online classes.

Identification: During the course presentation, you will be required to verify your identity with an official identity document, which reflects the name provided upon registration, for authentication and record purposes. Acceptable forms of identification include an identity document (national ID card), passport, government- or state-issued driver’s license, or a voter’s Card. Non-submission of valid identification in accordance with standard verification processes will result in either restricted access to parts of the course or your certificate being withheld upon your successful completion of a course. The name provided by you in the identity document that you have submitted will be the name that appears on any certificate that may be issued to you on your successful completion of a course.

Language: English is the language of instruction and administration for all courses. All coursework that is required for assessment purposes must be written in English Language. This includes posts made on the discussion forums.

Communications: You may receive communication by telephone, email, or text message from Big Field Digital Academy’s representatives for course administration and related purposes, including reminders of assignments and payments due by you, or other information related to your registration or these Terms. You hereby agree and consent to the receipt of such communications.

Videos: Videos are provided in the majority of course modules. These videos act as tutorials and lectures for the topics covered in the specific modules and could be made compulsory by tutors unless otherwise postulated.

  1. Course Assessment

General: All courses are based on continuous assessment and there are no examinations unless stipulated otherwise for a specific course.

Modules: Each course consists of modules that are delivered over a specified period through the Academy. Modules may include assignments that count towards the final course result.

Assignment submission: Assignments are due on the date and time as indicated in the Course calendar or as otherwise indicated by your Success Adviser. Usually, you will be given a full week (including the weekend) to complete and submit assignments. If you are not able to meet an assignment deadline, you are required to request an extension in line with the late submission of assignment process stated below. Any queries relating to your previous assignment that will affect the submission of your next assignment should be asked on your discussion forum.

Late submission of assignments: To apply for an assignment extension, you must submit a request through the Administrator prior to the submission deadline of such assignment.

Holidays and work trips: The course dates are clearly provided to you before a course commences, and it is your responsibility to ensure that you are able to complete the course by submitting assignments on time.

Assignment rewrites: Rewriting of assignments are not permitted. Courses are based on continuous assessment and because contextual feedback is provided after each assignment, rewrites provide an unfair advantage.

Results: Your provisional result or completion status may be subject to a moderation process. If you have outstanding fees or amounts owing, your result will be withheld until such time as your fees have been settled in full. If you are dissatisfied with your academic standing (provisional result for the course) you are within your rights to submit an appeal.

  1. Student Conduct

General rules: All students are required to adhere to our course requirements. A breach of the course requirement will constitute a breach of this entire Agreement.

Offensive and prohibited content and communications: All communications in our classes or through our lecture websites, including any content published by you, must remain appropriate at all times. Big Field Digital Academy retains the right to monitor and investigate any communication which is alleged to be offensive or specifically prohibited. Big Field Digital Academy retains the right to take any action that we deem appropriate with regards to such inappropriate content and communication.

  1. Pricing, payment, and delivery

Course fees: When you register for a course, you agree to pay the applicable course fee and such other amounts as may be due by you arising from your participation in the course.

Bank charges: If any bank charges, wire fees and/or other costs are levied on or added to a payment made by you to us from any country or jurisdiction, you will be liable for all of such bank charges, fees and/or additional costs.

Payment reference: When making payment to us, you must ensure that your invoice number (to which the payment relates) is reflected on your payment. We will not be held liable if we are unable to locate your payment, and as a result, you are suspended from participation in a course

Certificates: Certificates of completion (as described in your course information packs) will be issued in the legal name that you provide to us during the registration process. No certificate will be issued to you if you have not met the minimum stipulated requirements for the award of a certificate. No changes can be made to the standard form or wording of a certificate for any reason whatsoever.

Withheld certificates: If you are eligible for the award of a certificate, your certificate may be withheld by Big Field Digital Academy in the following circumstances:

    1. If you are under investigation for academic dishonesty or misconduct and such matter has not been resolved at the time of course completion, the award of a certificate may be suspended until the matter has been disposed of by Big Field Digital Academy.
    2. If you owe outstanding fees to Big Field Digital Academy, your certificate may be withheld until your fees have been settled in full.
    3. If you fail to successfully verify your identity, your certificate will be withheld until you have verified your identity.

Limitation of liability: With the exception of our willful misconduct, and to the maximum extent permitted by law, you agree that we will not be liable for any cost, claims, damages, including, without limitation, indirect, extrinsic, special, penal, punitive, exemplary or consequential loss (such as loss of profits, business, goodwill, revenue, or anticipated savings) or other damages of any kind, penalties, actions, judgments, suits, expenses, disbursements, fines or other amounts that you or any third party might suffer relating to or arising from these Terms, your participation in a course, or the termination of a course, for any reason, whether or not anyone anticipated or should have anticipated that damages would occur. In no event will Big Field Digital Academy aggregate liability to you for any and all claims exceed the total amount of fees received by Big Field Digital Academy from you in the six months preceding any cause of action.
